Description
Engineering Consultancy firm based in Saudi Arabia seeking an experienced and highly skilled executive secretary to join their team. As the executive secretary, you will play a crucial role in supporting the top management team and ensuring the smooth and efficient operation of the office. This is a confidential position that comes with a range of responsibilities, including: • Building and maintaining an accurate filing system for secure data retrieval. • Managing the CEO's calendar, scheduling appointments, and prioritizing tasks. • Attending meetings and taking minutes when necessary. • Reviewing reports before submission to the CEO. • Supervising and delegating tasks to the administrative team. • Coordinating office activities, meetings, conferences, and corporate functions. • Managing vendor relationships and negotiating contracts for office services and supplies. • Handling sensitive and confidential information with utmost professionalism. • Acting as a point of contact for internal and external stakeholders. • Acting as a gatekeeper for the CEO. • Good understanding of social media platforms, trends, and best practices, as well as the ability to create engaging content including videos, graphics, photos, and written posts, that align with company messaging and resonate with target audiences. • Monitor social media channels, respond to comments and messages, and engage with followers in a timely and authentic manner to foster positive relationships, address inquiries, and resolve issues. Requirements: • Bachelor's degree in Business Administration, Management, or a related field. • 5 years of Proven experience in managing an executive office in an international business setting. • Excellent written and verbal communication skills in Arabic and English. • Strong leadership and interpersonal skills, with the ability to supervise and motivate a team effectively. • Exceptional organizational and time management abilities, with keen attention to detail. • Demonstrated ability to handle multiple tasks and prioritize effectively in a fast-paced environment. • Flexibility and adaptability to meet the evolving needs of the organization. • If you are a highly organized, detail-oriented professional with exceptional communication and leadership skills, we invite you to join our team as the Office Manager.
